How Far in Advance Should You Book a Wedding Planner?

When to bring in a wedding planner relative to your date, and what changes if you're starting late.

There's no single right answer, but there is a wrong one: waiting until venues and vendors are already narrowing your options before anyone is working on your behalf.

The ideal window: 9-12 months out

This gives a planner real room to negotiate venue rates, secure your first-choice vendors before they're booked elsewhere, and build a timeline with buffer built in rather than compressed decision-making.

Still workable: 4-8 months out

Perfectly plannable, but the venue and vendor list narrows to who's actually available on your date rather than who's ideal. A planner earns their fee here by knowing which of the remaining options are genuinely good versus just available.

Tight but doable: under 3 months

This is where a planner's vendor relationships matter most — someone with existing relationships can often secure availability that a couple calling cold cannot, purely through standing goodwill with venues and vendors.

Frequently Asked Questions

Is it too late to hire a planner if the wedding is in 6 weeks?

Not necessarily — it depends heavily on what's already locked in. If venue and date are set, a planner can still meaningfully help with vendor coordination, décor, and day-of execution even on a short timeline.

Do planners charge more for last-minute bookings?

Some do, since compressed timelines mean more urgent vendor calls and less negotiating leverage — worth asking directly rather than assuming either way.
